Playbooks / Break it down

Break down goals into steps you can do today

Big goals stall on vague tasks like “Do marketing”. Apply Goaltree’s Break It Down playbook to a goal and your coach finds every task that’s still too big or fuzzy to act on, splits each one into 2–3 concrete actions and flags anything the plan is missing.

01 / What it is

Breaking a goal down means turning it into steps small enough that you know exactly how to start. A good next step is a physical action, like “Email Sam about the venue”, not “Sort out the venue”.

David Allen calls this deciding the next action. Without it, a task can sit on the list for weeks because nobody has decided what doing it actually means.

When to use it

  • A task has been on your list for weeks and you keep skipping it
  • You know what you want but not where to start
  • A plan looks complete but something feels missing

How to do it

  1. 01 Spot the vague ones Anything you can’t picture yourself starting in the next ten minutes.
  2. 02 Split into actions Two or three steps, each starting with a verb.
  3. 03 Look for gaps What needs to happen that isn’t written down yet?
  4. 04 Do the first step Momentum comes from starting, not from a perfect plan.
02 / Other apps explain it. Goaltree applies it.

How Goaltree applies it

The coach reads the goal’s current structure, finds the tasks that are still too vague or too big to do today and suggests how to split each one. It also points out work the plan hasn’t captured yet.

What your coach does

  • Finds tasks that are too vague or too big to act on today
  • Splits each one into 2–3 concrete actions
  • Flags gaps: work the goal needs that isn’t on the list yet

In the app: Explore → Playbooks → pick a goal.

FAQ

Questions, answered

How do you break down a big goal?

Work from the top: the goal, then milestones, then tasks, then a first action for each task. Goaltree’s AI planner builds the plan when you create a goal; this playbook sharpens the tasks that are still too vague.

What makes a good next step?

It starts with a verb, takes less than an hour and doesn’t need another decision before you can begin.

Will the coach change my plan without asking?

No. It suggests the splits and the gaps in the chat. Ask it to add the new steps and it will put them in your goal.
